Each table category may have its own conditions regarding the recommended or minimum number of guests, positioning within the venue, minimum spend, access to certain areas and included benefits.

The exact details regarding the date, time, location, table category, minimum spend, recommended number of guests, positioning and any other specific conditions are displayed on each event page.

2. User eligibility

Londine Events services are intended for individuals who are at least 18 years old and have full legal capacity, as well as for legal entities.

By making a reservation, the user declares that they are at least 18 years old and that they have the legal right to use the website and the services provided by Londine Events.

Access for minors to certain events may be restricted or prohibited, depending on the nature of the event, the venue, applicable legislation or the organizer’s rules.

For events where access is prohibited to minors, this information will be communicated on the event page or through the official promotional materials.

Londine Events and/or the event venue reserve the right to request an identity document in order to verify the age or identity of the persons attending the event.

3. Table types and minimum spend

For certain events, Londine Events may provide the following reservation categories:

Regular Tables

Regular Tables are generally intended for larger groups. Depending on the event, the reservation may be available for groups of at least 7–8 people and may require a minimum spend, for example RON 2,500, according to the information displayed on the event page.

Standing Tables / Front Standing Tables

Standing Tables are tables positioned in the party area, usually in an area close to the DJ or in an area with good visibility and easy access to the main atmosphere of the event.

Depending on the event, this category may require a minimum spend, for example RON 1,500, according to the information displayed on the event page.

VIP Tables

VIP Tables are available only for certain events and are positioned in an exclusive area, such as the Backstage area or another specially designated area.

Access to the VIP / Backstage area may be granted exclusively to persons who have reserved a VIP Table. Guests from the Bar area, Regular Tables or Standing Tables do not automatically have access to the VIP / Backstage area, unless this is expressly permitted by the organizer.

Depending on the event, this category may require a minimum spend, for example RON 5,000, according to the information displayed on the event page.

The amounts mentioned above are indicative and may vary from one event to another. The applicable conditions are those displayed on the event page at the time the reservation is made.

4. How online reservations work

For certain events, users may reserve online tables, areas or packages available on the Londine Events website.

In order to make a reservation, the user must select the desired event, the available table category, complete the requested information in the reservation form, enter the billing details and finalize the online payment.

A reservation is considered confirmed only after all of the following conditions have been met:

  1. selecting the event and the desired table category;
  2. correctly completing the information requested in the reservation form;
  3. completing the billing details required for issuing the advance invoice;
  4. authorization and confirmation of the online payment through the payment processor;
  5. sending the reservation confirmation to the e-mail address provided by the user.

Simply selecting a table, completing the form or initiating the payment does not guarantee the reservation. The reservation becomes valid only after the payment has been confirmed and the confirmation e-mail has been sent.

If the payment is rejected, cancelled, expires or is not completed, the reservation will not be considered valid, and the selected table may become available to other clients.

Londine Events reserves the right to cancel incomplete reservations, reservations for which payment has not been confirmed, reservations made using false information or reservations made through abusive use of the platform.

5. Advance payment and reservation confirmation

In order to confirm a reservation, the user must pay in full, in advance, the amount corresponding to the selected table category.

The amount paid in advance represents an advance payment for the table reservation and/or for the minimum spend applicable to the selected category, according to the conditions displayed on the event page.

Indicative examples of minimum spend amounts:

  • Regular Tables: RON 2,500;
  • Standing Tables / Front Standing Tables: RON 1,500;
  • VIP Tables: RON 5,000.

These amounts may vary depending on the event, venue, concept, artists, table positioning or other specific conditions. The amount applicable to each reservation is the one displayed on the event page at the time the order is placed.

The reservation is considered confirmed only after the online payment has been successfully completed and the confirmation e-mail has been received.

6. E-mail confirmation

After the payment has been successfully completed, the user will receive a reservation confirmation at the e-mail address entered in the form.

The confirmation e-mail may include, as applicable:

  • the name of the event;
  • the date and time of the event;
  • the event venue;
  • the reserved table category;
  • the number of guests indicated in the reservation;
  • the amount paid in advance;
  • the contact details of the person who made the reservation;
  • the billing details entered;
  • other details required for identifying the reservation at the venue entrance.

The user is responsible for entering a valid e-mail address and for checking the information before finalizing the order.

Londine Events is not responsible for the failure to send or receive the confirmation if the user enters an incorrect, incomplete, inactive e-mail address or an e-mail address to which they do not have access.

If the confirmation is not received within a reasonable time after the payment has been completed, the user must contact Londine Events using the contact details displayed on the website.

7. Billing details and advance invoice

When making a reservation, the user will complete the information required for issuing the advance invoice.

The advance invoice will be issued by YAN SOCIAL HUB SRL, through the billing system integrated with 2invoice, and will be sent to the user at the e-mail address indicated in the reservation form.

For individuals, information such as first name, last name, e-mail address, phone number and other data required under applicable law may be requested.

For legal entities, information such as company name, tax identification number, Trade Register number, registered office, e-mail address, phone number and other information required for issuing the invoice may be requested.

The user is responsible for the accuracy of the billing details entered.

YAN SOCIAL HUB SRL is not responsible for issuing an invoice based on incorrect, incomplete or outdated information provided by the user.

If invoice corrections are required, the user must send a written request to Londine Events as soon as possible.

Invoice corrections will be made to the extent permitted by applicable tax legislation and by the company’s internal procedures.

8. Online card payment

The reservation payment is made online, by bank card, through the NETOPIA Payments payment processor.

Card details are not stored by YAN SOCIAL HUB SRL or by Londine Events. They are entered and processed exclusively in the secure environment of the payment processor.

The reservation is confirmed only after the payment has been successfully authorized.

If the payment is rejected, cancelled, expires or is not completed, the reservation will not be considered valid, and the selected table may become available to other clients.

The final payment amount will be displayed before the order is completed.

Any errors occurring during the payment process must be reported to Londine Events in order to verify the situation. Londine Events may request additional information from the user in order to identify the transaction.

9. Use of the minimum spend

The amount paid in advance is related to the minimum spend or reservation conditions communicated for the selected table category.

The minimum spend is used during the event, according to the rules of the venue and the organizer.

Any consumption exceeding the amount paid in advance will be paid separately at the venue, according to the policy of the venue or organizer.

Unused amounts from the minimum spend are not refundable, unless other conditions are expressly mentioned on the event page.

Available products, menus, stocks, venue prices and service methods may vary depending on the event, venue and suppliers involved.

Londine Events does not guarantee the permanent availability of all menu products throughout the event.

10. Availability of tables and packages

The number of tables, areas and packages available is limited and may vary depending on the event, venue and space configuration.

Londine Events makes reasonable efforts to ensure that the information displayed on the website is accurate and up to date.

However, in exceptional situations, display errors, overlapping reservations, technical issues or changes imposed by the venue, production, security or event organization may occur.

If a confirmed reservation can no longer be honored in its original form, Londine Events may propose, as applicable:

  1. an equivalent alternative;
  2. relocation to a similar area;
  3. a compensatory solution accepted by the parties;
  4. refund of the amount paid for that reservation, if no reasonable alternative can be provided.

11. Event access

Access to the event is granted based on the reservation confirmation and the information provided at the time of the order.

At the entrance, the participant may be asked to present the confirmation received by e-mail, an identity document or other information required to verify the reservation.

Londine Events and/or the event venue reserve the right to refuse access to persons who do not comply with the event rules, age requirements, dress code, conduct rules, venue rules or applicable legislation.

Refusal of access for reasons attributable to the participant does not entitle the participant to a refund of the amount paid.

The user is required to arrive at the event within the time interval communicated by the organizer. In case of delay, Londine Events does not guarantee that the table will be kept for the entire duration of the event, unless other conditions are expressly mentioned on the event page.

12. Table positioning and changes of placement

Table positioning is determined according to the selected category, the venue configuration and the event organization.

Londine Events makes reasonable efforts to respect the table category selected by the user.

However, the exact placement of the table may be changed for reasons related to organization, security, production, access flow, venue requirements, authority requirements or other objective reasons.

Reserving a table or area does not guarantee a specific exact placement in the venue, unless this is expressly mentioned on the event page or in the reservation confirmation.

If significant changes occur regarding the reserved category or area, Londine Events will attempt to provide an equivalent alternative or an appropriate solution based on the specific situation.

13. Rules regarding the VIP / Backstage area

For events where the VIP Tables category is available, access to the VIP / Backstage area is permitted exclusively to persons who have reserved this table category or to persons authorized by the organizer.

Guests with reservations at the Bar area, Regular Tables, Standing Tables or other table categories do not automatically benefit from access to the VIP / Backstage area.

Londine Events reserves the right to control access to the special areas of the event and to refuse access to persons who do not have the appropriate reservation or express authorization.

Access to the VIP / Backstage area may be limited depending on the capacity of the area, venue rules, security requirements or other organizational reasons.

14. Cancellation of the reservation by the client

Confirmed and paid reservations are firm.

Unless special conditions are displayed on the event page, the amount paid in advance is not refundable if the user:

  1. can no longer attend the event;
  2. arrives late;
  3. does not attend the event;
  4. reduces the number of people in the group;
  5. does not comply with the access rules;
  6. provides incorrect or incomplete information;
  7. does not fully use the minimum spend.

Requests to modify a reservation may be sent in writing to Londine Events; however, they may be accepted only subject to availability and only after written confirmation from the organizer.

Requests sent on the day of the event or shortly before the event starts may not be processed.

15. Right of withdrawal

The user understands and accepts that reservations made for events with a specific date or period of performance may be exempt from the legal right of withdrawal applicable to distance contracts, in accordance with the legislation applicable to leisure services provided on a specific date or during a specific period.

By finalizing the reservation, the user accepts that the reservation is firm and that the amount paid in advance is not refundable in the cases mentioned in this document, except where Londine Events expressly communicates other conditions on the event page or through written information.

16. Event cancellation or rescheduling

If the event is cancelled by Londine Events or by the organizer, users with confirmed reservations will be informed by e-mail or through the official communication channels.

In this case, Londine Events will communicate the applicable procedure for refund, rescheduling or use of the amount paid for another event, as applicable.

If the event is rescheduled, the reservation may remain valid for the new date, if this is possible and communicated by the organizer.

If the user cannot attend on the rescheduled date, the refund or modification conditions will be those communicated for that specific event.

Londine Events is not responsible for indirect costs incurred by the user, such as transport, accommodation, other reservations, outfits, separately contracted services or any other personal expenses.

17. Event changes

Londine Events makes reasonable efforts to ensure that events take place according to the publicly communicated information.

However, changes may occur regarding the schedule, invited artists, DJ, location, time interval, space configuration, table positioning, access to certain areas or other elements of the event.

These changes may be caused by objective reasons, such as weather conditions, safety requirements, technical issues, unavailability of artists, decisions of the venue, restrictions imposed by authorities or other situations beyond the control of Londine Events.

Where possible, important changes will be communicated to users by e-mail, on the website or through the official social media channels.

Changes that do not substantially affect the event or the reservation category do not automatically give the right to a refund.

18. Conduct rules

Participants are required to comply with the event conduct rules, the instructions of security staff, the venue rules and applicable legislation.

Londine Events and/or the event venue may refuse access or remove from the premises persons who:

  1. display aggressive, indecent, dangerous or discriminatory behavior;
  2. are in an advanced state of intoxication;
  3. consume or possess prohibited substances;
  4. disrupt the event;
  5. do not follow the instructions of security staff or organizers;
  6. do not comply with the dress code, if one is communicated for the event;
  7. violate the venue rules or applicable legislation.

In such situations, the participant is not entitled to a refund of the amount paid.

19. Photography, filming and promotional materials

By attending the event, the user understands that photographs, videos or other audio-video materials may be created during the event by Londine Events, its partners, the press, accredited photographers or videographers.

These materials may later be used for promotional purposes, public communication, social media, archive or presentation of Londine Events events.

If a participant does not wish to appear in photo-video materials, they may inform the organizer or the event team, to the extent that this is reasonably possible.

This provision does not affect the rights of data subjects provided by personal data protection legislation.
